Overview

Title:                   Benefits & Systems Specialist

Reports to:        Director, Human Resources

Primary Function

Manage the administration, documentation, communication and compliance of all benefit programs.  Provide the analysis of program utilization, cost, billing and budget forecasting supporting the various plans.  Oversees the efficient utilization (and future implementations of) the HRIS database and benefit systems, to streamline and maintain employee data files and information, and simplify overall data management within the HR function by performing the following duties:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. 

  • Manage the overall functionality of all Benefit programs to include health, welfare, insurances, 401(k), ESOP, etc. by streamlining plan administration and enrollment, overseeing billing/reconciliation, performing budget and forecast analysis, leading company communication and ensuring plans are in compliance.
  • Foster productive relationships with brokers, vendors and TPAs.
  • Facilitate the education and guide employees on company Benefit program guidelines, policies, practices and laws which govern organizational offerings.  Proactively research and resolve program issues by answering management and employee questions and look for opportunities to strengthen plans.
  • Oversee the implementation and ongoing management of the HRIS database and benefit enrollment system, by becoming the HRIS Super User, training others in the efficient utilization of the system, developing accurate reporting functionality and effectively implementing systems and processes that promote a simplified and accurate management of employee data and information.
  • Lead department efforts in the overall collection and management of employee and department data to simplify the management and consolidation of information and provide efficient systems for retrieval and reporting.
  • Work collaboratively with HR Administrator to coordinate efforts to pro-actively maintain accurate files, records and processes that support the application of FMLA, STD, Workers’ Compensation and other types of leave to ensure employees and the business fully understands their rights, choices and obligations under each plan.
  • Participate in the planning and evaluation of HR needs supporting the business and positioning the organization for future growth by enhancing the capability through its human resources.
  • Perform other duties as assigned.


Qualifications

Qualifications:

  • Bachelor's degree in Human Resources Management or equivalent combination of education and experience
  • 5 years experience overseeing various benefits plans and programs and disciplines.
  • 3 years experience managing data information and HRIS systems.  A participant in prior HRIS implementations, extremely helpful. 
  • Excellent communication skills to be able to effectively communicate orally, educate through presentation and fluently utilize a variety of mediums to communicate through the written word.
  • Computer proficiency esp. Excel, Word, PowerPoint, and HRIS software, SAGE HRMS helpful, and Benefit Enrollment systems experience necessary. 
  • Proven organizational and planning skills, to meet deadlines and manage workload efficiently and effectively.
  • Ability to travel to all locations to support benefit enrollment efforts. 
  • Ability to handle confidential information.
  • Ability to operate in a team environment
  • Ability to adapt in a changing work environment

Physical Requirements

  • Ability to perform essential functions of the position.
  • Travel 5 - 10% of the time (increased during benefit open enrollment periods). 
  • Sitting 70 - 80% of the time
  • Stooping and bending 10% of the time
